Step 3: Form for external funded projects
The form is intended to clarify the roles and responsibilities in any future project for which a funding application is submitted. The Form for external funded projects is created within the financial system Raindance. Take contact with your financial officer to support you in creating the form.

Instructions for creating the Form for external funded Projects
In connection to developing the project budget, the financial officer creates a new unique application number within the Raindance project portal.
The first part of the project portal is then filled out by the financial officer with information from the project manager. This includes administrative facts in relation to the project, eg. project manager, funder, collaboration partners.
The second part, the financial section, is also filled out by the financial officer.
The third, and final part of the form is the authorisation and the sign-off section.
When all the requested information is registered and the project budget is completed, the financial officer provides the project manager with the documents for signing. The form and budget must be combined in a pdf, in PDF / A format, before signing. The project manager is responsible for signatures according to Karlstad University's Delegation of Authority. Electronic signing is used in most cases for signing. Karlstad University has signed an agreement with Sunet to use the e-signing service eduSign, which all employees have access to.
Current limits according to the Delegation of Authority
The amount limit means; Total project budget, which consists of Kau’s share in the project including co-financing and any transfers.
- Prefect/departmental manager or centre director: SEK 250 000.
- Contracts up to SEK 10 000 000 are signed by the dean and
- Contract over SEK 10 000 000 must be signed by the Vice-Chancellor. The Vice-Chancellor must also sign any agreements required by an external party.
The project manager is responsible for sending the application, the form for externally funded projects and SUHF budget to the registrar. (Diariet)
